OHI's Remote Property Management Services is structured as a support service to the Property Management Role. This includes tasks such as creation of work orders and tracking of resident requests, move-ins and move-outs processing, centralized purchasing by keying in orders in ordering modules of vendors such as HomeDepot, site vendor onboarding and preparing documentation for insurance claims.

Maintenance Support Services

  • Answering calls and responding to emails from tenants regarding maintenance activities
  • Process maintenance requests and generate work orders, track their status with maintenance team
  • Track maintenance team’s timesheets and work-orders against pre-decided standards to drive productivity of the in-house maintenance team
  • Arranging apartment inspections
  • Organize customer feedback calls with resident on the resolution of resident complaints
  • Allocate tasks to different pre-approved vendors/sub-contractors for different maintenance related jobs

Vendor Research and Support Services

  • Finding new vendors/sub-contractors or obtaining bids for maintenance activities such as snow removal, pest control, electrical repair etc
  • Set-up new vendors/sub-contractors in the system
  • Entry of vendors/sub-contractors invoices, utilities and other accounts payables
  • Pay vendors/sub-contractors and utilities using Bill Pay and online transfers
  • Resolve invoices and payments related issues with vendors/sub-contractors
  • Regular vendor/sub-contractor reconciliation i.e. reconciling vendor/sub-contractor ledgers with your books to eliminate any over-payment/duplicate payments

Administration Support Services

  • Welcome letters to new tenants and owners
  • Entry of tenant leases into the leasing or accounting system
  • Manage documents related to tenants, insurance policies, insurance claim paperwork
  • Conduct exit interviews of residents to understand reasons behind move-outs
  • Operational reporting to senior management regarding open complaints, outstanding rent etc
  • Perform all necessary functions to facilitate Tenant “Move In” and “Move Out” procedures including - Informing the tenant of the lease obligations, notifying them as their expiration date approaches & informing them of their obligations upon move out and processing security deposit returns
  • Maintain logs related to - Essential Lead Maintenance (EMP), Project lists for individual properties and Unit turnover list
